Migrating 1&1 IONOS Email Addresses to Office 365

For customers with Mail Basic and Mail Business accounts

This article shows you how to migrate your existing Mail Basic and Mail Business mailboxes to Office 365.

The first step is to assign a different domain or subdomain to all Mail Basic and Mail Business mailboxes that you have set up under the desired domain. We recommend that you use a new subdomain in this context. This change allows the domain in question to be linked to the Office user accounts you require. You can then create an associated Office 365 user account for each Mail Basic and Mail Business account.
 

Please Note: If you assign a different domain name to a Mail Basic or  Mail Business mailbox, it is no longer available under the originally created email address. Make sure you set up an Office 365 user account for each corresponding mailbox.

Creating a Subdomain

  • Log in to 1&1 IONOS.
  • Under the My Products menu, click on the Domains & SSL tile.
  • Click on the Gear icon in the Actions column next to the domain used for the existing Mail Basic and Mail Business mailboxes. Then, click Manage Subdomains.
  • Click Add Subdomain.
  • Enter any name in the Subdomain Name field and click Save.

The new subdomain will be created immediately.

Changing the Domain of the Mailboxes Being Migrated

  • Click the Select Product menu at the top-left corner of the screen and select Email.
  • If you have multiple contracts, select the contract containing the mailboxes you are migrating.
  • Click on the first email address you want to migrate.
  • Click on the Email Address row.
  • Click Change Domain.
  • Select the new subdomain you created.
  • Repeat the steps for all Mail Basic and Mail Business mailboxes you have set up under the domain.
    Please Note: Even if you are not planning on migrating a mailbox to Office 365, you will still need to make sure that all mailboxes assigned to the domain have been reassigned to the subdomain or another domain.

Creating an Office 365 User Account

  • Click the Select Product menu at the top-left corner of the screen and select Email.
  • Select the Office 365 contract.
  • Click Create User.
  • Click Use this Package under the type of Office 365 account you are creating.
  • Enter the desired User Name. Make sure that the specified user name (the part before the @ sign) matches the user name of your corresponding Mail Basic or Mail Business mailbox.

    Enter the desired First and Last Name and Password for the Office 365 user account.

    To give the user account the desired rights to perform functions, assign the appropriate Role to the Office 365 user account and (optionally) enter an alternative email address. Your account and credentials will be assigned to this email address.
  • Once you are ready, click Create User.
  • Repeat these steps for each Mail Basic and Mail Business mailbox being migrated.

Next, you can migrate the emails and other data from your Mail Basic and Mail Business mailboxes to the new Office 365 accounts.
