With IONOS GPT, you can upload and edit various file types – including documents, spreadsheets, script files, and configuration files – directly within your chats (conversations). This feature helps you with tasks such as summarising reports, analysing data, and extracting key information.

In this article, you’ll learn about the two main methods for uploading files: quick uploads for one-off tasks and creating a permanent knowledge base for frequently used documents. You’ll also find out how to embed your documents in your conversations and manage the uploaded content.

Supported file types

You can upload the following file types to IONOS GPT:

  • Documents: .pdf, .docx, .txt, .md
  • Spreadsheets: .csv, .xls, .xlsx
  • Programming and script files: .js, .tsx, .java, .py, .c, .cpp, .sql, .db
  • Web files: .html, .htm, .shtml
  • Data and configuration files: .json, .yaml, .xml, .properties
  • Metadata: .xmp

What you can do with uploaded files

With IONOS GPT, you can carry out a wide range of tasks on your uploaded files. Common use cases include:

Rewriting content:

  • Summarising lengthy reports into concise overviews.
  • Rewriting documents in different styles or tones.
  • Translating texts into the desired target language.

Extracting information:

  • Identifying specific information or subject areas within documents.
  • Extracting quotations, metadata, or structured data sets.
  • Determining the frequency of certain attributes in spreadsheets.

Uploading files in chat

To upload one or more files in a chat on IONOS GPT, follow these steps:

  • Open an existing chat or start a new one.
  • Click on the paperclip icon in the bottom left-hand corner of the input field. It is the first of three icons, to the left of the globe icon (Search) and the brain icon (Thinking). A context menu will open.

  • In the context menu that appears, click on Upload file(s). The file selection dialog box will open.

  • In the file selection dialog box, select the files you want and confirm your selection.

Your files will now be uploaded and added to the chat. Depending on the size of the files, this may take a little while. Once uploaded, you can refer to the files in your conversation. For example: “Summarise the uploaded document.”

Note

Documents uploaded directly to a chat are only accessible within that chat. If you delete the chat, the associated files will also be removed. However, you can store documents permanently in IONOS GPT by creating a knowledge base containing the relevant files. You can find out how to do this in the next section.

Creating a knowledge base

Organise your documents into knowledge bases to store them permanently in IONOS GPT and access them at any time. You only need to upload a file once, after which you can quickly and easily insert it into your chats and work with it. A knowledge base accepts media, PDF, DOC, ODT, and CSV files.

  • Click on the user icon in the top right-hand corner of IONOS GPT. The user menu will open.

  • In the user menu, click on Knowledge base. The My knowledge base window will open in the foreground.

  • Click the Create knowledge base button. The Create knowledge base window will open in the foreground.

  • Fill in the What are you currently working on? and What do you want to achieve? fields, then click on Create knowledge base.

    The knowledge base will be created and the window will close automatically. Your new knowledge base will now appear as an entry in the My knowledge base window. In the next steps, we’ll show you how to upload files to your knowledge base.

  • Click on the right arrow on the right-hand side of the knowledge base’s row. A window headed with the name of the knowledge base will open in the foreground.

  • Click on the browse link below Drop your files here, or. The file selection dialog box will open.

  • Select the files you want and confirm your selection. Alternatively, you can drag and drop the files into the window.
  • Wait until the upload is complete. You can then close both windows and return to your chat.

Selecting uploaded files and knowledge bases in a chat

Once you have created a knowledge base, you can easily insert the files it contains into any chat and work with them.

  • Open an existing chat or start a new one.
  • In the chat, click on the paperclip icon. A context menu will open.
  • In the context menu that opens, click on Knowledge base. A hash character (#) is inserted into the input field and a list opens above it. You can also open this list at any time by typing # in the input field yourself.
  • Click on the entry you want. Entries marked Collection are whole knowledge bases and show the name and description of the knowledge base. Entries marked File are individual documents and show the file name, with the knowledge base they belong to underneath.

The selected file, or all files belonging to the selected knowledge base, will now be attached to your chat and shown above the input field. You can then refer to this file or these files in the chat. To remove an attachment again, click the × next to its name.

For example: “Summarise the uploaded document.”

Managing knowledge bases

Adding files

You can add further files to your knowledge bases at any time.

  • In IONOS GPT, click on the user icon. The user menu will open.
  • In the user menu, click on Knowledge base. The My knowledge base window will open.
  • Click on the right arrow on the right-hand side of the knowledge base’s row to open it.
  • Click on the browse link below Drop your files here, or. The file selection dialog box will open.
  • Select the files you want and confirm your selection. Alternatively, you can drag and drop the files into the window.
Deleting files

To delete a file or an entire knowledge base:

  • In IONOS GPT, click on the user icon. The user menu will open.
  • In the user menu, click on Knowledge base. The My knowledge base window will open.
  • Click on the right arrow on the right-hand side of the knowledge base’s row to open it.
  • To delete an uploaded file from the knowledge base, click on the bin icon next to the relevant file name. The file will be deleted immediately, without a confirmation prompt.
  • To delete the whole knowledge base, click on Delete knowledge base. A confirmation dialog box headed Delete knowledge base? will open, warning you that the action cannot be undone. Click on Delete knowledge base again to confirm, or on Cancel to keep it.

Tips for making effective use of files

  • For lengthy documents, it is advisable to split them into smaller sections before uploading them.
  • Ensure that the content is in a readable format; avoid complex layouts that could hinder text extraction.
