AI Frontdesk: Checking and approving email drafts
Please use the “Print” function at the bottom of the page to create a PDF.
Valid for: AI Email Assistant (Momentum AI)
If you set your assistant to prepare replies only, it does not send anything without your approval: you read each draft and decide whether it is sent. The drafts are collected in the assistant’s interface, not in your email program. Only replies that have actually been sent appear in your mailbox, in the Sent folder.
This feature is available with the AI Email Assistant. The following steps show you how to find, review, and approve drafts.
View conversations
- Log in to your IONOS account.
- Click on Menu > AI Frontdesk in the title bar.
- In the contract overview, click on Manage in the tile for the contract you want.
- In the navigation bar on the left, click Conversations.
If your contract includes other AI Frontdesk products, click the Email tab. If your contract only includes the AI Email Assistant, there are no tabs.
Alternatively, you can open the same view from the Email assistant section by clicking Open Conversations → Email.
Review and approve drafts
All drafts awaiting your decision are listed under Needs approval, oldest first. This section is always shown. If nothing is awaiting your approval, it shows No replies need approval.
- Under Needs approval, open the draft you want and check its content.
- Decide what to do with the draft: click Approve and send to send it, edit it before sending, or click Discard to discard it.
Approved replies then appear under Answered by the assistant with the label Approved by you. A reply that is still on its way is marked as sending.
Note
Drafts that you do not deal with expire after two weeks. They are then listed in the daily email summary.
Tip
The daily email summary also tells you which drafts are awaiting your approval. The article AI Frontdesk: Setting up the daily email summary explains how to set it up.
Automatic replies
If you set your assistant to answer a category of emails automatically, no drafts are created for it. The assistant sends its reply after a delay of a few minutes. If you reply yourself during this time, the automatic reply is not sent. Replies sent this way are also listed under Answered by the assistant.
You can specify for each category whether your assistant leaves the emails alone, creates drafts, or answers automatically. The article AI Frontdesk: Setting up email response behaviour explains how to do this.
