AI Frontdesk: Viewing call history

Every conversation your assistant has is saved – calls and chats together in one place. For each conversation, you’ll find the date and time, a subject line, and a summary of what it was about. For calls, you’ll also see the phone number and the duration of the call. This means you can review a query even days later without having to search for the relevant email. The conversation history is available in the AI Receptionist and AI Chat Assistant products. The following steps show you how to access it, search through it and open an individual conversation.
View conversations
- Log in to your IONOS account.
- Click on Menu > AI Frontdesk in the title bar.
- In the contract overview, click on Manage in the tile for the contract you want.
Click on the Conversations tab at the top. It is next to the Configure tab, where you set up your assistant.
If you use multiple channels, your calls and chats will be listed together here. You can sort them by channel using the filters in the list.
View the call log
Each line represents a call and specifies:
- The date and time the call began.
- Who made the call – the caller’s name, if they gave it during the call, otherwise ‘Unknown’. Their telephone number is shown below this.
- The subject – a short line summarising the call, such as ‘Inquiry about prices and rates’. If this is missing, it will show as —.
- For calls, the duration of the call is shown on the right-hand side; for forwarded calls, the forwarding duration is also shown below. Chats do not include a time stamp.
Notes
- The name comes from the individual call. Your assistant does not remember it for future calls – so the same caller will appear by name once and then as ‘Unknown’ the next time in the list, even if their phone number is the same.
- Calls made via the website widget are labelled ‘widget-call’ or ‘widget-chat’ instead of a phone number – both in the list and in the call details. A call via the widget is established in the browser, so there is no caller phone number.
Filter and search conversations
Four controls are used to filter the list:
- The time period is displayed in the top right-hand corner; the button always shows the currently selected period, which is set by default to Last 7 days. Clicking it opens the Select period menu with the options Today, Last 7 days, Last 30 days and Last 90 days. Next to this, you can set your own time period using a calendar; the button then displays it as a date range.
- Above the list, you can filter by channel using All, Voice, and Chat. Next to each of the three buttons, you can see how many conversations fall within the selected time period.
- Use the Search... field to search through the listed conversations.
- Below the list, under Show: you can specify how many conversations are displayed at a time.
Open a single conversation
Click on the desired conversation in the list. The Conversation details window will open, showing two sections:
- General – for each conversation, the date and time. For calls, the phone number and duration are shown below; for forwarded calls, the forwarding duration is also shown. For a chat, this section only shows the date.
- Summary – the subject line, followed by the summary: a few sentences explaining what the caller or visitor wanted and how your assistant responded. If the call was transferred to a contact, the text Call transferred appears above this, along with the result of the transfer – for example, that the contact answered the call.
Note
You do not need to open the interface to be notified of an inquiry. Your assistant sends an email summary for every conversation. You can decide for yourself who receives these summaries. You can find instructions in the article Setting up email summaries.
