Nextcloud Workspace at a glance

Nextcloud Workspace is an integrated office suite for companies that value security, flexibility, and data protection. It combines files, office applications, communication tools, and automation features in a central work environment. All data is hosted on IONOS servers in European data centres, so you retain full control.

Its modular architecture allows you to enable exactly the features your company needs. Groupware apps such as Mail, Calendar, Contacts, and Deck support efficient team organisation. Office tools and the AI Assistant help teams work productively in real time, while Nextcloud Talk enables secure communication through chat and video conferencing. Additional automations can be set up individually using Flow, Tables, and the API.

Microsoft 365 at a glance

Microsoft 365 is a cloud-based platform for productivity, communication, and collaboration that is used worldwide in companies of all sizes. It offers well-known Office applications such as Word, Excel, and PowerPoint, as well as tools for communication, project planning, and teamwork. With Outlook, Teams, SharePoint, and OneDrive, companies have comprehensive options for email management, file storage, and real-time collaboration.

Microsoft 365 is delivered entirely through the cloud, allowing users to access their data anytime and from any device. Licensing is managed through per-user subscriptions, and regular updates ensure that all features stay current. The platform is especially suited for companies that prefer standardised, fully managed solutions and do not want to run their own servers.

Nextcloud Workspace and Microsoft 365 compared

Although both solutions are essentially collaboration tools, a direct comparison between Nextcloud Workspace and Microsoft 365 reveals several key differences.

Hosting and data control

Nextcloud Workspace places a strong emphasis on secure hosting. When hosted by IONOS in protected data centres, all data remains fully under your control, ensuring that sensitive information is not automatically stored in the cloud of an external third-party provider. This approach is especially suitable for organisations with strict compliance or data sovereignty requirements. Microsoft 365, by contrast, is entirely cloud-based, and data is stored in Microsoft data centres depending on the subscription region. While security and encryption mechanisms are in place, organisations have limited control over the physical location where their data is stored.

Costs

In our comparison of Nextcloud and Microsoft 365, both solutions use per-user subscription models. Microsoft’s pricing varies by package and includes different feature options, with advanced capabilities such as identity and access management available only in higher-tier packages. Microsoft’s AI assistant Copilot is also offered as a paid add-on. With Nextcloud Workspace, all customers receive the same core set of features, including the full office suite and AI Assistant, while pricing mainly depends on the number of users.

Apps and modules

Nextcloud Workspace is built on a modular system that can be flexibly adapted to the needs of different organisations. The platform includes office applications for word processing, spreadsheets, and presentations, as well as groupware services for email, calendars, and contacts. In addition, modules can be extended with extra apps or integrations. This open architecture makes Nextcloud especially versatile and highly customisable.

Microsoft 365, by contrast, offers a comprehensive set of well-established applications used by companies around the world. The programs are tightly integrated, creating a consistent user experience across the platform. However, the structure is largely predefined and offers only limited customisation options. As a result, Microsoft 365 provides a clear and standardised environment, but with less flexibility for individual adjustments.

Data protection and compliance

Nextcloud Workspace is especially appealing for companies that must comply with strict data protection requirements. Because the data is stored on servers in European data centres, organisations retain full control over access, storage, and processing. Nextcloud therefore meets strict European data protection standards and is not subject to the CLOUD Act.

If you subscribe to Microsoft 365 directly, you still benefit from various security mechanisms and compliance certifications. However, data sovereignty remains with the provider. As a U.S. company, Microsoft is also subject to the CLOUD Act. Organisations using Microsoft 365 therefore rely on contractual agreements and compliance frameworks to address their data protection requirements.

Flexibility and customisability

Nextcloud Workspace can be adapted very flexibly to business processes through modules, APIs, and automation tools. Companies can create custom workflows and implement their own integrations. In comparison, Microsoft 365 follows a more standardised approach. Customisations are limited to the options provided by Microsoft, which can simplify implementation but offers less freedom for individual configuration.

Collaboration and communication

Nextcloud Workspace supports real-time document editing, chat, video conferencing through Talk, and task management. The integration of these modules helps create smooth and efficient workflows. In comparison, Microsoft 365 offers similar capabilities through Teams, Outlook, SharePoint, and the Office applications. Real-time collaboration is also supported there, though communication and collaboration take place within the Microsoft ecosystem.

Support and community

With Nextcloud Workspace, you receive 24/7 support from the IONOS premium customer service team. Microsoft 365 also provides centralised support from Microsoft along with extensive documentation and help resources.

Choosing between Nextcloud Workspace and Microsoft 365

Nextcloud Workspace and Microsoft 365 address similar needs but follow fundamentally different approaches. With hosting designed for strong data protection and full control over stored information, Nextcloud is particularly well suited for companies that prioritise data security, data ownership, and flexibility. Its automation capabilities and high level of customisability make the platform ideal for teams that want to tailor their work environment to their specific processes.

Microsoft 365, by contrast, stands out with standardised, ready-to-use tools that are widely used around the world and tightly integrated. However, as a U.S. company, Microsoft is subject to the CLOUD Act, which may be less suitable for organisations that require complete control over their data infrastructure.

In practice, this leads to clear use cases. Privacy-focused organisations, such as those in healthcare or public administration, benefit from Nextcloud Workspace because data can remain on European servers. Small to medium-sized teams with dynamic workflows often use Nextcloud to automate processes and adapt them to their own working methods.

Large, internationally operating companies frequently rely on Microsoft 365 because its standardised applications help enable consistent collaboration across different countries and teams.
