How to create a club email address

You don’t need professional IT skills or a lot of time to set up an email account for your club. Simply secure a domain and create personalised inboxes and email addresses for your members. It makes communication clearer and reinforces a sense of unity and shared identity.

Why does a club need an email address?

Clubs use email addresses as a tool for both internal and external communication. With a club email account, clubs can share and discuss important announcements, news, changes or events. Having a standardised email address also provides numerous benefits for interacting with partners, stakeholders and supporters of the club. If a shared email address such as club@xyz.com is used for the club, filters should be put into place to ensure that messages reach the appropriate club members.

Personalised club email addresses for club members are efficient and practical. Instead of operating your own mail server, you can simply use a custom email domain. You don’t need any technical knowledge or programming skills, and you have the freedom to create a custom domain and assign individualised email addresses. All you need is a provider, a customer account and ideas about what you want your club email address to be.

What advantages does an email offer clubs?

Setting up a club email account is quick and easy, offering top-notch security, distinct recognition, and seamless communication. It provides a dependable business inbox for the club and personalised email addresses for each member.

Compared to other email services, a club email address obtained through a provider offers these benefits:

  • Access anywhere and on any device: IMAP functionality allows you to retrieve your messages from any device and location.
  • 100% ad-free: You pay a small provider fee for using the email domain and this ensures that annoying advertising emails no longer end up in your club inbox. Filters simply get rid of the spam.
  • Reliable protection against spam, malware and phishing: With a reputable provider, your inbox remains protected against spam, malware and phishing. Modern security functions are used to scan emails for malware, detect phishing and cyberattacks and reliably secure your inbox against infiltration.
  • Archiving emails in a legally compliant manner: Do you want to store your emails so that they adhere to important regulations? The right provider ensures your emails are reliably archived in secure data centres in accordance with all legal requirements.
  • Individuality, seriousness, recognition value: Whether the whole club shares an email account, or each member gets their own personalised address, a custom email address automatically appears more serious, original and trustworthy.

How to set up a club email account

You don’t need a lot of time or expert knowledge to set up your own club email address. The procedure differs depending on the provider you choose, but generally is made up of the following steps:

Find a domain

Choosing the right domain is particularly important if you want your club address to be distinctive and meaningful. A good provider usually has popular TLDs (top-level domains) available for domain registration. These include gTLDs (generic top-level domains) such as .org, .com, .net and .blog. The gTLD .club, which is commonly used by clubs and associations, is also an option.

Since you can be quite creative when it comes to thinking up your email address, you could go for something like [membername]@[clubname].com or specify the role certain members have in the club: [clubname]@[clubrole].club.

Domains can also be country-specific. Such domains are known as ccTLDs. A domain extension such as .uk, .cymru or .scot indicates the country that the domain and email address belong to. If your club is only active within one country, selecting a domain from the ccTLD list is also a good idea.

Select an email package

Email domain providers adjust their pricing so they can meet the varying needs of their customer base. For instance, smaller organisations may need fewer inboxes and less storage compared to larger clubs that operate globally. You can generally find customised packages that are affordable and include an adequate number of inboxes and storage for club members that are going to be using the account.

After registering the domain and choosing a package, you can set up the email addresses, complete with individual inboxes and passwords. Each club member will have an email address linked to the club. You can also set up other features such as email forwarding and spam filters as well as allow lists and block lists.
